The Role:

We’re on the hunt for an Administrative Assistant (1 year contract) in our Geointelligence Engineering Team at our Richmond office.

A professional Administrative Assistant with excellent customer relations and communication skills provides exceptional administrative support to our teams.  In this role you will assist the team with the day-to-day activities, including business and customer contacts.  The Administrative Assistant must be highly organized and able to multi-task and meet tight deadlines.  In a ‘people-oriented’ position like this, flexibility, organization and preparation (as much as possible) are vital.  There is no typical day.

Job Responsibilities:

    • Pro-actively manages the Managers appointments and other time commitments using MS Outlook, with attention to urgency, nature of requests and time constraints
    • Excellent initiative and ingenuity with a strong commitment to contribute meaningfully within a team environment.
    • May take meeting minutes and track actions from meetings
    • Coordinating the logistics for all managers' customer/business visits (catering, booking rooms, dinner reservations, etc.)
    • Maintaining management & proposal files
    • Coordinating computing & software needs for the department
    • Take the lead on new employee on-boarding (equipment/ access requests and office allocation)
    • Coordinating travel arrangements
      • Conference registration & all related travel arrangements
      • Makes arrangements for attendance at industry meetings and conferences
    • Prepare expense claims
    • Organizing team events, SWAG, LOS, retirements
    • May maintain team travel and vacation calendars
    • Opening and distribution of daily mail received for your manager
    • Commitment to ongoing learning and professional development.
    • Answers and screens Managers telephone calls, directs and answers inquires
    • May draft correspondence
    • May review letters and presentations for accuracy and compliancy to company guidelines
    • Applies sound financial principals involving the prudent use of the resources available
    • Attend all Admin meetings, and team meetings as required
    • Liaise with other company departments (ex. Marketing, Purchasing, Accounting etc.)
    • May provide some data management and assistance with Sharepoint
    • Prepare Lobbyist Report for Manager if required
    • Assist travelling employees to keep Travel Profile up to date
    • Will follow MDA best practices, and follow company policies and procedures
    • Assist the project teams with miscellaneous tasks as required
    • Assisting Department Accountant as required
    • Other duties as assigned or required

Job Requirements:

  • Minimum 5 years office experience providing administrative support
  • Experience with using Salesforce is an asset, but not required
  • Strong knowledge of MS-Office tools
  • Excellent organizational skills
  • Proven ability to work with little or no supervision, to work independently and to resolve administrative issues/problems
  • Ability to work under pressure, to handle interruptions
  • Proven ability to organize and prioritize workload and handle several projects simultaneously through to completion, with minimal direction or supervision.
  • Handle highly confidential information using excellent judgement, diplomacy, and discretion.
  • Demonstrated flexibility to meet and adapt to changes in organizational priorities
  • Demonstrated ability to communicate effectively both verbally and in writing
  • Available to work extra hours on short notice
  • Perfect command of English language
  • Required hours /week:  40

Salary:

The compensation range for this position is $42,000 - $55,000 annually. The specific compensation offered will be based on the qualifications and experience of the successful candidate
