Our programs are seeking a high energy, dependable Administrative Assistant to join our team at the Space Park Campus. Candidate will support the Ground Solutions & Mission Support (GSMS) Software (SW) Director and her leadership team with a variety of duties including arranging meetings, setting up and maintaining files, arranging travel for personnel, processing associated Concur expense reports, coordinating on-boarding of new personnel to the program and backing up the GSMS Program Office when needed. Candidate will coordinate with appropriate organizations, i.e. facilities, security, property, and account management.
The successful candidate will work well in a team environment, be an independent thinker, and have a track record of working well in a fast-paced, multi-faceted environment. This position requires excellent communication skills, ability to multi-task and organize/prioritize tasks independently, have strong office management and interpersonal skills, have a solid foundation in SCI program security practices and be self-motivated with the ability to collaborate well in a team environment.
Principal Duties:
- Arrange meetings and teleconferences
- Maintain and synchronize unclassified and project calendars
- Arrange travel and prepare associated expense reports
- Coordinate on-boarding of personnel
- Answer questions and solve problems related to office operations and established policies and procedures
- Coordinate office workspace planning, ordering office equipment with the facilities and IT organizations
- Interface with all levels of Program personnel and Customers
- Process visit requests, NG badges, and accounts forms
- Support coordination and integration of meeting materials
- Support and collaborate with other Administrative Assistants as needed
- Support special event planning and catering coordination, such as meal planning, ordering food from caterers, delivering food, organizing clean up and expensing
Basic Qualifications:
- Current DoD Top Secret clearance with ability to obtain SCI access by start date
- High School diploma or equivalent and 6 years additional education and/or related experience.
- Proficiency in Microsoft Office Suite including Word, Outlook, Excel
- Experienced with organizing/maintaining schedules/calendars, and travel arrangement
Preferred Qualifications:
- Associates Degree
- Experience in Concur/ITRIP, I-Buy, NG My IT, SAP
- Current SCI Access
