Northrop Grumman Defense Systems is seeking an Administrative Assistant to the VP. This position will be located in Roy, Utah and will support the Sentinel Program.

This position provides a broad range of administrative support and requires excellent communication and multi-tasking skills, as well as the ability to interact confidentially with all levels of management. Roles and responsibilities of the Executive Administrative Assistant will include (but not be limited to) the following:

  • Providing administrative support primarily to the Sentinel EMD Program Manager and other executives on the Sentinel team.

  • Setting up meetings and coordinating meeting participants; ensuring daily internal and external calendar alignment; administering multiple calendars.

  • Facilitating program meetings, executive meetings, and customer visits.

  • Managing travel arrangements and expense reports using company travel tools (i.e. Concur & iTrip).

  • Maintain team phone lists and availability tracker (out-reporting).

  • Obtain inputs and compile weekly data for status reporting.

  • Handling details of a highly confidential and critical nature.

  • Collecting and preparing information for use in discussions/meetings of executive staff and outside individuals (customers, suppliers, etc.).

  • Making high level contacts of a sensitive nature inside and outside the company.

  • Working on problems of diverse scope where analysis of data requires evaluation of identifiable factors.

  • Exercising judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

  • Demonstrating a wide and comprehensive acquaintance with, and understanding of, both general and specific aspects of the job and their practical application to complex problems and situations ordinarily encountered at the executive level.

  • Operating independently to meet requirements of leadership team and offering expertise to assist other functions within organization.

  • Assisting events and activities of major organization initiatives.

  • Report generation and compilation.

  • Proactive, highly motivated, collaborative and adaptable, with excellent organizational skills including the ability to handle multiple tasks, changing needs, and competing priorities.

This position’s standard work schedule is a 9/80. The 9/80 schedule allows employees who work a nine-hour day Monday through Thursday to take every other Friday off.

Basic Qualifications:

  • High School diploma or equivalent and 8 years additional education and/or related experience.

  • Must be a US Citizen with the ability to obtain a DOD secret clearance and a SAP security clearance.

  • Experience managing executive calendars.

  • Flexibility and agility, prioritizing multiple tasks with competing deadlines, and managing schedule conflicts.

  • Strong computer skills including proficiency in Microsoft Office software (Outlook, Word, PowerPoint, and Excel), SharePoint (or equivalent), and intranet/internet proficiency.

  • Experience with travel and expense systems and policies.

  • Prior experience coordinating both on- and off-site meetings and/or events and processing visitor requests.

  • Strong oral and written communication skills.

  • Experience interfacing with executive level internal and external contacts with considerable autonomy and professionalism.

  • Ability to efficiently coordinate Outlook calendar, conference call, and shared link applications.

Preferred Qualifications:

  • Active DoD Secret clearance.

  • Familiarity with Northrop Grumman’s specific systems (SAP, Concur, Facilities requests, IBUY, etc.).

  • Knowledge of NGC resources, policies, and procedures.

  • Experience and proficiency with Concur (or similar) travel and expense reporting system.

  • Experience participating and hosting in-person and remote Video Teleconference meetings (i.e. Zoom, Teams, etc.)

  • 6 years of experience in an administrative assistant role supporting managers and directors.

Salary Range: $64,700.00 - $107,800.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
