ADMINISTRATIVE ASSISTANT

Based out of Rocket Lab's new Launch Complex 2 (LC2) in Wallops Island, VA the Administrative Assistant is integral for the smooth running of Rocket Lab’s Integration and Control Facility. The role is responsible for the visitor experience at Rocket Lab as well as the management of day-to-day consumables on site.

The role has a central relationship with all employees at LC2, and supports Wallops based employee events and internal communications, ensuring employees are well informed. The role also provides day to day support for Office Manager and Senior Leadership Team for project-based work and event planning.  The role is the key point of contact for Rocket Lab employees traveling to LC2 to ensure badging paperwork is collected and housing is organized.

WHAT YOU’LL GET TO DO: 

Reception

  • Develop and maintain key relationships while driving the Rocket Lab experience, providing a high level of customer service as the first point of contact for visitors to LC2
  • To uphold the company security policy in all instances, ensuring security processes are adhered to by all visitors and employees
  • To ensure an efficient, polished, and professional front of house area
  • Supporting inwards and outwards goods when necessary
  • Responding to all phone and email-based queries in a timely manner

Office Administration

  • Assist with travel arrangements for employees and occasionally VIP’s travelling both domestically and internationally
  • Assist with NASA WFF badging for employees and visitors
  • Assist with catering administration for employee meals
  • Maintain stock levels across the facility, and sure a tidy and functional office space
  • Responsible for retrieving the mail and getting to appropriate staff
  • Manages and owns the conference room calendar to maintain bookings

YOU’LL BRING THESE QUALIFICATIONS

  • 2+ years of reception and/or office administration experience
  • High School Diploma
  • Experience with internal and external customer facing responsibilities

THESE QUALIFICATIONS WOULD BE NICE TO HAVE:

  • Efficient with Microsoft Office products (word, excel etc.)
  • Previous experience coordinating and planning events
  • Previous experience ordering and maintaining office supplies
  • Ability to manage multiple priorities
  • Meticulously well organized

ADDITIONAL REQUIREMENTS:

  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to focus.   
  • Regularly required to sit, use hands and fingers, operate computer keyboard and controls, and communicate verbally and in writing.  
  • Must be physically able to commute to buildings 
  • Occasional exposure to dust, fumes and moderate levels of noise.
