The Position:

Process invoices and expense reports in the accounting system for payment. Ensure invoices and expense reports are coded correctly to the relevant account in ERP system. Ensure that necessary authorizations are obtained and internal procedures are followed when processing and paying invoices and expense reports. Obtain information from, or provide information to, various MDA departments to clarify anomalies and expedite payment of accounts. Review accounts payable general ledger reports to ensure processed invoices and expense reports are accurate and complete.

Job Responsibilities: 

  • Process invoices and expense accounts in the accounting system for payment, ensuring three way match between purchase order data and receipt slip data and invoice.
  • Communicate with MDA departments (PAs/OAs) to obtain information necessary to complete invoice processing or reconcile the supplier's statement with accounts where anomalies have been observed.
  • Research and respond to queries from MDA departments (PAs/OAs) regarding overdue payments, overdue purchase order values, invoices in process, etc. This requires acquiring in-depth knowledge of the Accounts Payable module LN (ERP system).
  • Ensure internal authorization policies and procedures are followed in processing invoices, expense reports and payments.
  • Prepare and complete payment of invoices and expense accounts due, unless management directs otherwise, including preparing for computerized processing of check printing, wire transfer payment and direct deposit reimbursements of business expenses to employees.
  • Print and review Accounts Payable sub-ledger details to ensure accuracy and plausibility of invoices and expense accounts marked overdue.
  • Maintain an audit trail of supplier invoices processed, ensuring that relevant documentation evidencing processing and authorization is scanned in ERP system.
  • Perform other related duties as applicable, including opening and distributing department mail physically or electronically.

Job Requirements:

  • Bachelor of commerce or college degree in business
  • Minimum of two year of Accounts Payable experience
  • Basic accounting knowledge
  • Experience in an accounting environment
  • In-depth working knowledge of commercial financial software. Infor LN an asset.
  • Good working knowledge of MS Excel and Word
  • Ability to work in a fast-paced environment
  • Ability to work independently and within a team and interact effectively with others
  • Good attention to detail
  • Good customer service skills
  • Meets job requirements and expectations effectively and efficiently
  • Good organizational skills

Comments/Special Considerations:

Successful candidates must obtain and hold security clearance at the reliability status level, and pass security assessment for the Controlled Goods Program (CGP).

The compensation range for this position is $45,000-55,000 annually. The specific compensation offered will be based on the qualifications and experience of the successful candidate.
