We’re on the hunt for a Senior Administrative Assistant on our Polar Epsilon 2 (PE2) Program at our Richmond office.
Our mission is to turn data into insight. From detecting changes in fragile ecosystems to monitoring northern ice floes and shipping routes, our near-real time data of Earth observation and the environment makes our Geointelligence team a leader in geospatial imagery, ground stations, enterprise geospatial systems and defence programs. As our Senior Administrative Assistant, you will support the Polar Epsilon 2 (PE2) Program. The successful candidate will respond to direction from both the PE2 Project Manager and the Director of Programs.
Responsibilities:
- Set up meeting agenda, take meeting minutes and track actions from meetings
- Gather, review, analyze, evaluate and report on project metrics (issues tracking and resolution) and their impact
- Assist the Project Manager by maintaining and updating action registers as required by the project
- Support the Project Accountant by forecasting future COTS expenditures and maintaining projected costs tracking sheets
- Apply project, program, business area and company policies and procedures to resolve routine issues
- Act as Project Security Officer and be the first point of contact for any project security incidents, including filing the required paperwork and reporting to the Company Security Officer
- Assist with financial forecasting
- Provide Configuration/Data Management support
- Take the lead on new employee on-boarding (security briefings, equipment/ access requests and office allocation)
- Attend all Admin meetings, and team meetings as required
- General project coordination and admin support
- Assist the project team with miscellaneous tasks as required
- Other duties as assigned or required
Requirements (or equivalent combination of education and experience):
- Degree/Diploma preferred
- Minimum 5 years office experience providing administrative support
- Experience working in government procurement projects
- Working knowledge of Project Planning or Scheduling software
- Knowledge of Agile, SharePoint, JIRA, Teams
- Experience working with a project management team
- Experience leading project meetings
- Experience developing professional correspondence and presentations
- Strong knowledge of basic MS-Office tools including Word, Excel and PowerPoint
- Excellent organizational skills
- Proven ability to work with little or no supervision, to work independently and to resolve administrative issues/problems
- Ability to work under pressure, to handle interruptions and to manage multiple requests
- Ability to thrive in a fast paced, high-demand environment
- Superior attention to detail and willingness to take ownership of tasks
- Demonstrated time management skills to assist others in meeting deadlines
- Handles highly confidential information. Ability to deal with sensitive information using excellent judgement, diplomacy, and discretion
- Demonstrated flexibility to meet and adapt to changes in organizational priorities
- Demonstrated ability to communicate effectively both verbally and in writing including the ability to respond politely and diplomatically to both internal and external inquiries
- Proven ability to organize and prioritize workload and handle several projects simultaneously through to completion, with minimal direction or supervision.
- Required hours/week: 40
- Available to work extra hours on short notice

Comments/Special Considerations:
Successful candidates must obtain and hold security clearance at the NATO Security Clearance level, and pass security assessment for the Controlled Goods Program (CGP).
