Located in Durango, CO, (Headquarters) and Mount Pleasant, PA (Additive Manufacturing Center) Agile Space Industries, Inc. (AGILE) designs, builds, and tests in-space propulsion systems for satellites and spacecraft. AGILE uses state of the art 3D metal alloy printing techniques to rapidly design, manufacture, and test new engine designs in our purpose-built propulsion test facility. With over a decade of experience testing rocket engines, and engineers who have worked at industry leaders like Blue Origin, SpaceX, NASA, and Rocketdyne, AGILE is a rapidly growing company with many exciting Defense, Civil and Commercial programs.

 

Executive Team Assistant

ABOUT THE ROLE

Reporting to the CFO, the Executive Team Assistant (ETA) will provide glue between the Executive Team as well as connective tissue to support key internal and external Agile stakeholder relationships.  The overall goal of the ETA is to expand the bandwidth, efficiency, and effectiveness of the Executive Team so that their time is spent to maximum effect.  To be successful in this role, the ETA will need to be an exceptional self-starter with an instinct for proactivity while a natural communicator and team player that can build trust and preserve confidentiality.  This role will continuously evolve with organizational growth and success and, as the ETA and Agile team work together, it will take open communication to continue to refine the role and ensure the optimum responsibility set.

 

WHAT YOU’LL DO

 

Drive time management and organizational efficiency while supporting finance

  • The ETA will keep the Executive Team moving forwards through effective organization by managing calendars to ensure meetings, appointments, and travel arrangements run smoothly. Everyone wants time with the team and the ETA will balance stakeholder needs to ensure requestors feel valued.
  • The ETA will monitor, respond, organize, and escalate priority email messages (and other communication flows) when appropriate. Ghost write responses as appropriate and filter information to optimize time.
  • The ETA will prioritize tasks and manage deadlines. The ETA will ensure the team has the time, resources, and materials needed to accomplish goals.
  • The ETA will continuously seek opportunities for task delegation to reduce time spent on tasks that can be proxied and handed over.
  • The ETA will support and coordinate Board Meetings and strategic planning activities to help overcome Executive Team bandwidth and colocation limitations.
  • The ETA will Support the CFO and wider Finance team with administrative tasks such as data entry as well as processing check runs.

 

Problem solve and support relationships and partnerships

  • The ETA will anticipate the needs of the management. Via proactive anticipation, providing solutions before problems arise. The most effective ETAs have a natural affinity to foresee landmines before they are visible and harder to avoid.
  • The ETA will have their finger on the pulse by being engaged with all staff and departments. They will be able to play a crucial communications role keeping the management team fully informed. As appropriate, the ETA will being involved in a wide swath of meetings and correspondence to provide a holistic and unique awareness of activities (internal and external).
  • The ETA will maintain and nourish key relationships. This will be managed such that key partners and stakeholders (both internal and external) are treated with care and respect and have an experience of direct and transparent communication.
  • The ETA will support and sometimes lead strategic initiatives. The ETA will serve along side or in the place of the management team to move important strategic initiatives forward.
  • The ETA will work with the CFO and CEO to prepare material for and the logistics of Board, investor, and advisor meetings. Work with the team to prepare Board and annual shareholder meeting packages and proxy statements.
  • The ETA will facilitate teamwork and communication among the executive team and staff. The ETA will work closely with People Operations and Culture in this area supporting activities such as event planning, preparations and support.

Knowledge, Skills, Abilities

 

  • Comfortable functioning, and ideally excelling, in a high-paced and at times stressful environment with consistently varying priorities.

  • Excellent written and spoken communications skills.

  • Confidentiality and trust are key to success in this role. The ETA will be a trusted confidant of the Agile management team handling sensitive information with the utmost discretion.
  • Ability and comfort in traditional office software such as MS WORD, Powerpoint, Excel but also a natural curiosity to pick up skills with (new) Agile specific tools and systems.
  • To effectively delegate tasks, an effective ETA will be comfortable with basic project management to ensure smooth handover and task conclusion. effective interfacing and gatekeeping for those looking to connect, documentation development.

Education and Experience

 

  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience (at least 5 years) in similar ETA roles. Ideally the candidate will have had specific experience in a high-growth small business environment.
  • Experience supporting activities at the Board level are a bonus as are experience supporting due diligence activities.
  • Proven experience in accounting/bookkeeping role.
  • Must be detailed oriented and have worked with an ERP system.
  • Must have strong problem-solving skills and able to work independently.
  • An interest in working the space industry will be viewed favourably during the selection process.

 

EMPLOYMENT TYPE: Exempt

 

SALARY: $80,000-$105,000

 

WORK SCHEDULE: Full-Time

 

LOCATION: Durango, CO Preferred. Colorado resident required.
