Job Overview:
Ursa Major is seeking an experienced and proactive Executive Business and Operations Specialist to provide high-level administrative support to our C-Suite and executive leadership team. This position will play a critical role in managing day-to-day operations, enabling our executives to focus on strategic initiatives by streamlining communications, scheduling, and project coordination. As an Executive Business and Operations Specialist, you will be an integral part of the leadership team’s success, ensuring operational excellence in all aspects of their work.

Key Responsibilities:

  • Executive Support: Provide comprehensive administrative support to the C-Suite, including managing calendars, coordinating meetings, and preparing materials.
  • Communication Management: Act as a liaison between the executive team and internal/external stakeholders, ensuring timely and effective communication.
  • Travel Coordination: Arrange domestic and international travel, including transportation, accommodations, and detailed itineraries.
  • Meeting Preparation: Assist with preparing agendas, presentations, reports, and meeting documentation for executive-level meetings and briefings.
  • Project Coordination: Help manage executive-led initiatives, track progress, and follow up on deadlines, ensuring projects stay on track.
  • Event Planning: Assist with planning and executing corporate events, off-site meetings, and other executive-related functions.
  • Document Management: Maintain and organize files, documents, and reports, ensuring confidentiality and compliance with company policies.
  • Expense Reporting: Manage expense reports for executives, ensuring timely submission and adherence to company policies.
  • Task Prioritization: Anticipate the needs of executives and handle competing priorities with discretion and efficiency.
  • Problem Solving: Proactively identify issues and implement solutions to keep executives focused on high-level strategic work.

Qualifications:

  • Experience: 5+ years of experience providing executive-level support in a fast-paced, dynamic environment.
  • Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent organizational, time management, and multitasking skills.
    • Strong written and verbal communication abilities.
    • Ability to maintain confidentiality and handle sensitive information.
    • Strong problem-solving skills and attention to detail.
  • Education: Bachelor's degree in business administration, communications, or a related field is preferred but not required.
  • Location: Must be able to work onsite at the Berthoud, CO office with flexibility for occasional travel.

Colorado law requires us to tell you the base compensation range of this role, which is $70,000- $100,000, determined by your education, experience, knowledge, skills, and abilities. The salary range for this role is intentionally wide as we are evaluating individuals based on their unique experience and abilities to fit our needs.
