Responsibilities: 

  • Provide sophisticated calendar management for C-Suite team members, including making and managing appointments, and prioritizing sensitive matters 
  • Coordinate executive team meetings, leadership off-sites, and assist with staff meetings and events as needed 
  • Organize and facilitate executive meetings, visits, and events (i.e., Board of Directors meetings, shareholder visits, customers visits, etc.), including scheduling, sending reminders, conference room preparation and calendar management, and catering when necessary 
  • Schedule and coordinate all aspects of domestic and international travel arrangements (including airfare, hotel, car service, itinerary, and dining) for assigned executive team members. 
  • Complete a broad variety of administrative tasks that facilitate the executive team’s ability to lead the organization 
  • Draft and prepare correspondence and communications for supported executives, including drafting responses for approval and communicating with supported executives as necessary 
  • Act as gatekeeper for inbound calendaring requests, making judgments regarding critical/confidential requests, compiling necessary follow-ups and action items, and facilitating productive access to executives 

 

Required Qualifications: 

  • Bachelor’s Degree or equivalent work experience 
  • 3+ years of executive support experience, including supporting C-level executives 
  • Professional presence and excellent interpersonal skills 
  • Dependable, reliable, flexible, and trustworthy with the ability to maintain a high level of professionalism and confidentiality in handling sensitive information at all times 
  • Excellent, error-free written and verbal communication skills. 
  • Demonstrated strong proficiency in scheduling and calendar management 
  • Strive for high quality and respect for deadlines 
  • Strong organizational skills, attention to detail, and the demonstrated ability to prioritize multiple responsibilities and exercise independent judgment, including knowing when to elevate concerns or issues 
  • Ability to work independently and collaboratively in a fast-paced environment 

Proficiency with Microsoft 365 Office suite (Outlook, Word, Excel, Power Point, and Teams), as well as Adobe Acrobat 

 

Desired Experience:  

  • Knowledge of visitor management software, including Envoy 
  • Travel-management software experience, including Navan 
  • Experience managing engagements with board of directors

Colorado law requires us to tell you the base compensation range of this role, which is $65,000- $95,000, determined by your education, experience, knowledge, skills, and abilities. The salary range for this role is intentionally wide as we are evaluating individuals based on their unique experience and abilities to fit our needs.
