Provide administrative support to the Lotus Program Manager, Deputy, leads and team members. Deliver excellent customer service while handling calendars, deconflicting and scheduling meetings. Handle all aspects of travel, timely and accurately. Assist with presentations, action-items and other project documents. Demonstrate initiative and follow-through when interacting with all levels of personnel internal and external. Assist in maintaining the NPO classified infrastructure and facilities.
Responsibilities:
This Staff Assistant II will report to National Partnerships Office, Business Manager and be a member of the Business Administration Team in the Astronomy & Physics Directorate. Our office is responsible for all classified work and buildings at JPL.
Tasks include but not limited to:
Person most knowledgeable of project activities
Coordinate classified/unclassified meetings for multiple managers/leads/team members using MS Outlook
Project contact point for travel reservations, expenses and audits
Ensure conflict-free conference room schedules
Ownership of facility functions and appearance
Assisting with internal moves
Frequent escorting of uncleared technicians
Initiating, tracking and ensuring resolution of bldg. facilities issues
Coordinate sponsor visits, presentations and logistics
Track and ensure certs are passed to visiting organizations for visitors and sponsors
Lead Confluence page shared by JPL program and sponsor
Build and maintain classified file structure for program documents
Provide quality check for all P/MMR material
Build and maintain spreadsheets/workbooks and other tools to supervise partnership processes and products
Ability to grasp concepts, needs and turn into action
Work as extension of DPM
Create templates and assemble classified technical presentations
Qualifications:
Position typically requires a High School diploma with 6 years of related experience or Associates degree with 1 year of related experience.
Experience with MS Office, Outlook, Confluence, JIRA, Concur, Wiki pages.
Validated successful experience as a Staff Assistant for active projects in classified environment
Subject matter expert on travel, reservations, expenses and audits
Proven success working within JPL Facilities and their subcontractors
Proven track record using Facility systems
Demonstrated ability to communicate at all levels within JPL and non-NASA sponsors
Proven experience seamlessly coordinating interagency meetings
Understands, works within, and can troubleshoot non-NASA agency processes
Demonstrated initiative and ability to anticipate needs management team
Proficient with handling appropriately, local security industrial security procedures
Attention to detail; willingness to follow-up
Demonstrated ability to plan, prioritize, multi-task and complete assignments on time and with minimal direction
Self-starter with the ability to work independently and in a team environment.
Ability to use tact and discretion
Strong professional characteristics: responsible, hardworking, individual who takes initiative and ownership of work
Respectfully asks for clarification or questions processes
Experience providing administrative support in a fast-pace critical classified environment
Able to maintain perseverance and composure in a complex work environment that includes interruptions and changing priorities
Able to lift 15 pounds without assistance
Must have an active Top Secret (TS) clearance based upon Single Scope Background Investigation (SSBI) within a 5 year scope and must be approved for Sensitive Compartmented Information (SCI) accesses.

The hiring range displayed below is specifically for those who will work in or reside in the location listed. In extending an offer, Jet Propulsion Laboratory considers factors including, but not limited to, the candidate’s job related skills, experience, knowledge, and relevant education/training. Hiring range for this job may be adjusted based on primary work location outside of Pasadena, California. This adjusted range will be provided to candidates by the Recruiter when applicable.
