The Systems Engineering Division (SED) provides unmatched experience in systems engineering to the U.S. government and to numerous public and private agencies, universities, nonprofit organizations, consortia, and commercial companies involved in the advanced application of space technology. From systems architecture development to system analysis and optimization, astrodynamics, orbital debris, navigation, failure analysis, mission assurance, cost and schedule assessment, and economic market analysis, SED exploits an incredibly broad array of engineering and business disciplines against a diverse and dynamic portfolio of programs and national challenges. 

We are seeking an experienced Administrative Assistant (Admin Specialist III) who will provide strategic support to two Principal Directors and their organization teams. As one of the focal points for the organization, the individual provides collaborative administrative support to ensure effective and efficient operations. This person anticipates needs; resolves problems quickly; manages/executes processes and procedures; and works closely with leaders and colleagues to ensure the organization runs smoothly and meets internal/external deadlines.

Work Model: This position requires a minimum four days on-site work in Chantilly, VA with the potential for one day telework.

What You’ll Be Doing

  • Execute support as part of a team of administrative specialists in the organization
  • Anticipate the needs of organization leaders and act as a partner to those leaders understanding the broader context and objectives to influence activities performed in execution of the role
  • Complete high volume and strategic multi-calendar support
  • Internal and external meeting coordination, support, and execution
  • Arrange travel, logistics, and expense reporting for organization leadership
  • Coordinate employee support (on-boarding, timesheet administration/auditing, training requirements, supply/equipment orders)
  • Support special projects, track actions items, and track deliverables
  • Engage in organization activities and decisions, with follow-up communications and coordination
  • Improve and ensure effective processes/systems that provide superior organization, efficiency, and industry-leading best practices
  • Lead by training and mentoring other administrative specialists and is a role model by demonstrating professionalism, team collaboration, technical expertise, and leadership behavior that is consistent with the company's values

What You Need to be Successful - Admin Specialist III

Minimum Requirements:

  • High School Diploma, GED, or equivalent
  • Strong administrative skills: strategic execution of tasks, organization, detail-oriented, writing, and proofreading
  • A minimum of 6 years of related administrative experience
  • Strong technological fluency across a wide range of tools and platforms such as Microsoft Office 365 applications and meeting tools such as Teams and Zoom
  • Strong communication and interpersonal skills: leadership, collaboration, resiliency, strategic thinking, problem-solving, emotional intelligence, judgment, business acumen, and decision making across all levels of the organization
  • Ability to handle sensitive and personnel-related information appropriately and support sensitive management functions
  • Ability to work independently and cooperatively with a team to proactively deliver innovative solutions and resolve issues with minimal direction
  • This position requires the ability to obtain a TS/SSBI/SCI security clearance and polygraph, which is issued by the U.S. government. U.S. citizenship is required to obtain a security clearance.
