This position can support hybrid work, and does require working onsite as needed. Candidates must reside in or be willing to relocate to our local market. (MD, DE, VA, PA, DC & WV).

STScI is hiring a Space Management Specialist to support the Housing Manager in the organization’s office of space management in its buildings in Baltimore, MD.  Working under the supervision of the Housing Manager, the Specialist will support day-to-day housing operations objectives by using quantitative and qualitative methods and techniques to analyze office space and furniture configuration needs to fulfill the administrative space requirements for the Institute. Performs multiple and varying assignments under the limited direction of the Housing Manager. These assignments involve tracking and analyzing space requirements for individual organizational units. This work affects the efficiency of the STScI operations and employees.

The responsibilities of the Space Management Specialist include: 

  • Understanding the space requirements and processes of the organization to support planning for and developing office space needs in line with the Institute’s strategic objectives. Provides guidance to Administrators and Managers in the day-to-day operations for space management and in the application of policies.
  • Working with Administrators and Management to plan for new and departing employees and the associated office space needs. Utilize organizational planning data for new hire information and departures weekly.
  • Responsible for assigning, coordinating and scheduling all moves, individual and group. Ability to work with the housing team, which may include internal facilities staff, administrative staff, IT professionals and external vendors, to efficiently and effectively move large number of staff to new locations, as well as internal moves at the current facility.
  • Collaboration with departmental staff to carryout procedures for maintenance of space inventory and floorplans. Audit/Survey floorplans for errors and inaccuracy on a weekly basis. Become knowledgeable of the physical space at the Institute through periodic floor audits.
  • As an individual contributor on small complex projects, the Specialist analyzes and identifies space allocations to ensure that space requirements comply with policy and procedures. Recommends space allocations and options.
  • Maintain strong customer service relationships between housing team and members of the organizational management team.
  • Perform research and analysis, and prepare related reports and presentations, as required. Reporting tools and resources used in this role include:

    • Service Now
    • Tableau

KNOWLEDGE, SKILLS & ABILITIES:

We are looking for candidates with a minimum of 5 years of experience in the management of business operations, preferably in a scientific or technical environment involving government contracts. You have excellent negotiation skills, the ability to organize, plan, and resolve issues, and are detail oriented. Excellent customer service skills and the ability to instill, monitor, and continually improve these skills in a team work environment are essential.  Excellent verbal and written communications skills.  Ability to establish and maintain cooperative and effective working relationships both internally and externally.

EDUCATION: Bachelor's Degree in Business Management, Business Administration, Project Management, or related field.   Substitution of additional relevant education or experience for stated qualifications may be considered.

The position level and salary are commensurate with education, skills and experience.
