Position Overview (Summary/Objective):

We are seeking an experienced professional to provide on-site administrative and project support to the organization with a primary focus on support to the Sr. Vice President of the business unit and his staff.  Responsibilities will be varied and will provide an opportunity for interaction with employees across the entire business unit.   

 

Responsibilities:

  • Coordinate customer meetings to include booking conference rooms, initiating visitor badge entry requirements and managing catering arrangements,
  • Manage logistics for employee meetings to include meeting notices, AV and/or facilities support, attendance and catering.
  • Schedule travel arrangements for the team, including expense report preparation and submittal.
  • Procurement related duties to including ordering and stocking department office supplies, assisting in the procurement of other needed materials, reviewing workflows and expediting approval.
  • Support the preparation of power point presentations for all-employee meetings as well as other department and functional meetings.
  • Track budgets and provide updates.
  • Help to monitor program status and drawing releases.
  • Other duties as assigned across the site.

 

Basic Qualifications:

  • 10+ years of work experience, to include a minimum of 5 in a corporate administrative assistant capacity.
  • Excellent knowledge of all Microsoft office tools (Outlook, Power Point, Excel, Word)
  • Excellent verbal and written communication skills with the ability to draft and edit communications and presentations to ensure clarity, grammatical correctness, and in the case of presentation, visual effectiveness.
  • Ability and willingness to work on site 5 days/week (flexibility to work from home is available on occasion to support work/life needs).
  • Ability and willingness to work more than 40 hours/week on occasion.
  • Strong collaboration skills with the willingness to support other areas of the company as needs arise and get involved in site-wide initiatives in support of our employees.
  • Ability to obtain and maintain a US government security clearance.

This job operates in a professional office environment. While performing the duties of this job, the employee routinely is required to use hands to keyboard, communicate, listen to, and interpret instructions and remain stationary for extended periods of the time. This would require the ability to move around the campus and occasionally move/lift items weighing up to 25 lbs.
