We’re on the hunt for an Office Manager within our MDA Space UK team at our Harwell office.

MDA Space’s international footprint in the UK creates opportunities to work with some of the most exciting space industrial players in the country. We are seeking to grow the UK capability in delivering all three business area capabilities, they being Geointelligence, Robotics & Space Operations, and Satellite Systems. The UK team provides support to our European-based customers whilst specialising in the development of advanced space sensors for exploration missions and earth observation as well as space-based communication technology. As our presence grows, so does our need for new ambitious team players to help us advance our place in the Universe and beyond.

As our Office Manager, you will take care of the day to day running of the Harwell suite of offices and facilities and ensure the provision and maintenance of services to enable the local team members to fulfil their obligations whilst supporting the Head of Operations on a day to day basis.

 

Role:

  • A truly multi-faceted role with the primary aim being to enable and ensure all real estate at Harwell operates in the most effective and efficient manner for all employees and guests, whilst liaising with a multitude of internal and external stakeholders.

 

 

Responsibilities:

Activities

  • Ensure that all offices and facilities are maintained to the highest standards and in-line with company policies and procedures.
  • Manage all contractors and the associated service agreements related to facilities to enable the maintenance at the highest standards; this includes making arrangements for servicing and/or repairs as required, including statutory obligations.
  • In addition to reporting to and supporting the Head of Operations, supporting the Leadership Team and Team Leaders in ensuring relevant policies and procedures are created, modified, and adhered to.
  • Manage all HSW Risk Assessments and Method Statements for facilities, which includes liaising with HSW experts in various fields.
  • Ensure relevant and correct IT/IM is available for the team and assisting team members to resolve day to day issues as they arise.
  • Own, deliver and manage the relevant Induction, and Annual Training Directives, related to Facilities and Office Protocols etc. as well as being the first port of call for the team with general queries.
  • Set and track budgets for facilities and expenses relating to facilities.
  • Ensure sufficient refreshments are stocked and replenished at least weekly, for the respective facilities at Harwell.
  • Communicate effectively with suppliers, clients, colleagues, and other Executive Assistants and Office Administrators at our other locations.
  • Arrange for the meet and greet of visitors and clients, including the provision of an arrival brochure.
  • Assist in the planning and coordination of conferences, dinners, social events, group travel, etc. where required and as directed by the Head of Operations.
  • Support HR where needed in the administrative process associated with interviewing and hiring staff.
  • Assist, as needed, in the filing and management of key commercial documents and other items.
  • Manage the timesheet reporting process for the business tools as directed.
  • When required, provide interim support for Procurement.
  • Provide general administrative and office support.

This position reports to the Head of Operations.
