Northrop Grumman Space Systems is seeking a Administrative Assistant to the VP. This position will be located in Roy, Utah and will support the Sentinel Program. 

What You’ll Get To Do:

Performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisors assignment. May take and transcribe dictation.

Essential Responsibilities include, but not limited to the following:

  • Collaborative while being assertive as necessary and able to execute projects and tasks independently.

  • Work with minimal supervision.

  • Demonstrate flexibility and agility, prioritizing multiple tasks with competing deadlines, and managing schedule conflicts.

  • Work collaboratively as a team player with the ability to interface effectively at all levels in the organization; aid to team building.

  • Operate foreign travel reporting systems.

  • Provide administrative support to the Executive Leadership team, 

  • Set up and coordinate meeting participants, ensure daily internal and external calendar alignment; administering multiple calendars.

  • Establish extensive, frequently changing, travel arrangements and expense reports using company travel tools (i.e. Concur & iTrip).

  • Host for company, customer and subcontractor visitors to include badging and escort to meetings and maintaining office area appearance.

  • Communicate with administrative, customer and management personnel to gather or convey relevant information.

  • Designing and maintaining procedures which includes appropriate access to confidential information.

  • Maintain team phone lists and availability tracker (out-reporting).

  • Facilitate lunch meetings and occasional event planning for team.

  • Obtain inputs and compile weekly data for status reporting.

  • Possess excellent interpersonal and communication skills and ability to work with a broad variety of functions.

This positions standard work schedule is a 9/80. The 9/80 schedule allows employees who work a nine-hour day Monday through Thursday to take every other Friday off.

Basic Qualifications:

  • High School diploma or equivalent and 8 years additional education and/or related experience.

  • Ability to obtain a Secret Security Clearance.

  • Experience managing executive calendars.

  • Strong computer skills including proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.

  • Experience with concur, travel and expense systems and policies.

  • Prior experience coordinating both on- and off-site meetings and/or events and processing visitor requests.

  • Proactive, highly motivated, collaborative and adaptable, with excellent organizational skills including the ability to handle multiple tasks, changing needs, and competing priorities.

  • Strong oral and written communication skills.

  • Must be able to interface with executive level internal and external contacts with considerable autonomy and professionalism.

Preferred Qualifications:

  • Active DoD Secret clearance.

  • Prior experience coordinating both on- and off-site meetings and/or events and processing visitor requests.

  • Experience participating and hosting in-person and remote Video Teleconference meetings (i.e. Zoom, Teams, etc.)

  • Self-motivated/proactive, organized, responsive, reliable, flexible, and detail oriented.

  • Desire to work within a team and contribute.

  • Ability to exercise sound judgment and providing follow-through to facilitate smooth workflow for team.

  • Ability to protect and maintain confidentiality.

  • 6 years of experience in an administrative assistant role supporting managers and directors.

  • Experience in iBuy and office related purchasing.

Salary Range: $64,700.00 - $107,800.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
