We are looking for a Business Support Specialist that can provide support and assistance to the executive discipline leaders in our engineering department. • Promptly, professionally, and courteously greet visitors, determine the nature of business, answer questions, respond to complaints, and refer to proper office or individual.
• Ensure visitor security and compliance requirements are met before allowing visitors or other guests entry into the facility.
• Assist in processing of Purchase Requestions to support various Programs and Department
• Support, document, and where required lead process improvement and process documentation activities in support of the Department
• Participates in and leads cross function coordination as required across VG
• Promptly, professionally, and courteously answer in-coming calls, route callers, and provide information as required.
• Set up and coordinate meetings and conferences, including facility site visit approvals.
• Coordinate travel planning and reservations
• Complete expense reporting and reconciliation
• Provide support to all levels of management and staff.
• Manage and maintain executives' schedule as well as calendar as needed. - Conduct research, collect and analyze data to prepare reports and documents pertaining to expenses.
• Perform general clerical duties to include, but not limited to copying, faxing, mailing and filing. - Assist with ordering and managing office supplies as well as company apparel.
• Support emergency evacuations on an as needed basis.
• Respect and maintain confidentiality in discussing organizational matters.
• Assists in other duties as needed and directed.
What You Bring
• 3-5 years of experience within an administrative office setting.
• Good knowledge of office etiquette and procedures.
• Demonstrated experience with meeting and dealing with people at all levels of the organization in an efficient and tactful manner.
• Ability to identify the nature of a visitor’s business and determine how to respond in the best manner to maintain the company’s positive public image.
• Strong experience with and knowledge of MS Office computer applications – intermediate to advanced skills with Outlook, Word and Excel are strongly preferred.
• Experience with SAP Success Factors, Egencia, Certify applications. - Good organizational skills and strong attention to detail are required.
• Ability to carry out a variety of clerical tasks independently from general instructions. - Excellent verbal and written communication skills.
• Ability to accurately interpret written information and to successfully complete tasks requiring basic arithmetic.
• Demonstrated history of strong attendance, reporting to work regularly and on time.
• Must have a valid passport and able to obtain a driver’s license
The annual U.S. base salary range for this full-time position is $47,840.00–$66,560.00. The base pay actually offered will vary depending on job-related knowledge, skills, location, and experience and take into account internal equity. Other forms of pay (e.g., bonus or long term incentive) may be provided as part of the compensation package, in addition to a full range of medical, financial, and other benefits, dependent on the position offered.
