Job description
Duties
- Reviews work completion reports to ensure accuracy and compliance with organizational standards. Prepares and assemble charts, data, reports, and narrative and statistical materials provided for on-going organizational planning.
- Provides guidance on a range of administrative office matters in order to achieve a high degree of compliance with established policies and procedures.
- Receives and screens visitors and telephone calls to the offices and exercises tact and diplomacy in dealing with persons from all organizational levels.
- Maintains the Transpiration calendar for the office making sure all transportation support runs seamlessly.
- Executes rollout for select announcements of various types. (e.g., contract awards/grants) as appropriate.
- Assists in coordinating administrative tasks in support of established requirements for supplies, property management, or office moves, such as setting up and maintaining systems to control the purchase and use of supplies.
- Maintains effective communication with supervisor/senior level staff so that they are informed of pending or missed deadlines. Assists senior level staff by performing a variety of support service.
- Applies existing and new policies, provides advice on requirements, maintains databases that reflect the fulfillment and/or status of administrative requirements, and prepares administrative paperwork and travel for the organization.

Qualifications
To qualify for GS-09 level, you must have:
a) One year of directly related specialized experience equivalent to the GS-08 level:
- Performing a full range of office support activities such as planning and scheduling meetings, reviewing office communications, correspondence or other documents, and assisting with travel arrangements;
- Utilizing policy and procedure documents to support a range of administrative office matters;
- Planning and coordinating work efforts and identifying possible operating issues and/or situations affecting the efficient flow of work.
Education
This job does not have an education qualification requirement.

To be eligible, you must have completed a minimum of 52 weeks in a position no more than 1 grade lower than the advertised position.
