The Space Telescope Science Institute (STScI) is a multi-mission science operations center for NASA’s flagship observatories, including the Hubble and James Webb Space Telescopes. STScI seeks a highly organized Administrative Assistant II (#8177) to provide professional administrative support to the Events Planning Group (EPG) at the Space Telescope Science Institute.  As an EPG team member, you will be the primary support/team member for all EPG administrative tasks, invoices and corresponding check requests.

This position currently supports teleworking from home. However, candidates must reside in our local market (MD/DC/VA/DE/PA/WV).

Responsibilities include:

  • Providing high level administrative support, including travel coordination, procurement, data management, inventory, and problem resolution.
  • Processing a large volume of travel documents after reviewing for compliance with contract constraints and division and mission
  • Creating purchase requisitions and following from initiation through delivery of materials and invoice
  • Managing a variety of calendar requests and
  • Aiding in creating and maintaining confluence pages, event websites, and web interfaces.

Experience & Skills:

  • Demonstrated ability to work independently with minimal supervision while following established policies and procedures, with a high degree of accuracy and reliability.
  • Highly detail-oriented with strong organizational and time management
  • Comfortable with the urgency of multiple high-priority demands.
  • Excellent customer service and communication
  • Knowledge of Deltek/Costpoint and Asana is a plus!

Requirements:

  • 4+ years of prior administrative experience REQUIRED.
  • Intermediate level of expertise in General knowledge of other Microsoft Office products and Outlook calendars.

STScI will consider additional relevant education or experience for the stated qualifications.

Compensation is commensurate with education and experience, with a budgeted range of $51-54K annually.
