The (On-Site) Administrative Functional Support Analyst 3 position will perform a variety of activities supporting the Facilities Engineering and Maintenance Operations departments at the Azusa, CA campus. Supporting a team of approximately 60 people, including HVAC, mechanical, electrical, electronics, gardeners, engineering, cafeteria, custodial and contracted suppliers.

This role will report on-site daily to our campus in Azusa, CA.

Essential Functions:

  • Establishes, monitors, and pays all related facilities purchase requests, service contracts and contractor services.
  • Supports all material purchases (iBuy, P-card, ADR check requests and Purchase Orders), including researching, ordering, and tracking.
  • Compiles monthly reports from various sources for management review on all material purchases, maintenance requests and preventative maintenance orders.
  • Assists with budget tracking and development.
  • Manages Facilities Maintenance Request system (CMMS) in ServiceNow.
  • Manages SAP preventative maintenance work order processes (including development, entry, administration, and distribution).
  • Interfaces with Supply Chain Management to create Purchase Orders and solution any subsequent billing/invoice issues.
  • Possess excellent interpersonal, and oral and written communication skills.
  • Ability to work with limited supervision. No instructions needed on routine work, and only general instructions given on new lines of work or special assignments.
  • Interfaces with other support organizations
  • The selected candidate should thrive in a fast-paced work environment with high expectations, significantly diverse assignments, collaborative/team settings across all levels. Candidate must be flexible and able to collaborate closely with various facilities personnel (engineering, leadership, crafts).

Basic Qualifications:

  • High School Diploma or GED
  • Facilities operations, construction, and/or commercial/industrial maintenance administration experience in a multi-craft, multi-building campus setting.
  • 4+ of related experience in general administrative work relatable to facilities maintenance or construction operations.
  • Proficiency in computer operations including Outlook, Word, Excel, Adobe

Preferred Qualifications:

  • Bachelor’s degree is preferred.
  • 6+ years of related experience in general administrative and analytical work within a facilities maintenance or construction operation
  • SAP experience.
  • Facility/Maintenance management software experience a plus (i.e. SAP, MAXIMO, ServiceNow, etc.).

Salary Range: $24.90 - $41.53

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.
