At ispace Europe, we are excited to offer a 6 months-HR Internship that provides you with hands-on experience in various HR functions.
We are the regional office of ispace inc., a Japanese Space company, which vision is to expand and sustain humanity’s presence in space by developing an Earth-Lunar ecosystem.
We are creating the first lunar resource exploration service by developing ispace’s next generation rover that will prospect for water and other resources. We are a small team, motivated by the challenges of the Lunar frontier, and achieving the company’s vision.
We are seeking an enthusiastic HR Intern to join our team and provide invaluable support to our HR department. Your role will involve using creativity and innovation to perform a variety of missions such as: overseeing company events lifecycle, being familiar with the various facets of human resources management, improving and facilitating recruitment processes and database.
Moreover, this internship is also an excellent opportunity to gain first-hand experience of HR operations and to better understand our company's approach to payroll, recruitment and staff development.
The HR Intern will play a crucial role in ensuring that our HR policies and procedures run smoothly. His/Her attention to detail and organizational skills will be put to good use as He/She maintain employee records and participate in a variety of HR-related activities.
This position is based on site in Luxembourg. Possibility of working remotely according to internal regulations.
Key Responsibilities
- As an HR Intern, you will be at the forefront of driving innovation in our recruitment process, creating engaging teambuilding events, and contributing to data analysis to optimize our HR strategies.
- HR Day-to-Day Support:
- Updating our internal databases and internal regulations
- Gathering payroll data like working hours, leaves and bank accounts
- Create and maintains personnel files and performs HR filing.
- Update the organizational chart on a monthly basis
- Draft employment agreements and amendments for new joiners
- Perform other related administrative tasks
- Work proactively with other team members on various HR projects
- Address queries and issues of employees when required
- On-boarding/Off-boarding: Analyze processes in place and propose new common guidelines for on-boarding off-boarding process.
- Plan and accompany new employees through on-boarding sessions and future former employees through off-boarding sessions. (Prepare files, assist with the on-/off-boarding of employees).
- HR Projects:
- Get involved in special HR projects, such as developing onboarding programs, conducting employee surveys, or updating HR policies and procedures.
- Contribute fresh ideas and creative solutions to enhance HR processes and practices.
- Recruitment:
- Maintain current HR files and databases
- Compile reports and prepare spreadsheets
- Post job ads and organize resumes and job applications
- Schedule job interviews and partake in interview process
- Participate in recruitment process improvement
- Contribute to the continuous improvement of recruitment processes to enhance efficiency and effectiveness.
- Teambuilding Events:
- Utilize your creativity to help plan, organize, and execute teambuilding events and activities that foster a positive and cohesive work environment.
- Brainstorm unique and engaging ideas for teambuilding events, taking into consideration the interests and preferences of the team members.
- Assist in coordinating logistics, budgeting, and event materials for successful execution.
- Work closely with various departments to ensure active participation and enthusiasm among employees.
Minimum Qualifications
- Currently pursuing a Bachelor's or Master's degree in Human Resources, Business Administration, Psychology or related fields.
- Strong communication skills and the ability to work collaboratively with diverse teams.
- Highly organized with excellent attention to detail.
- Demonstrated creativity and innovative thinking in problem-solving and project execution.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Social Media HR campaigns.
- Experience with data analysis tools and techniques is a plus.
- High level of professionalism in dealing with confidential and sensitive issues.
- Flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
Preferred Requirements
- Knowledge of Luxembourg labor and social law
- Knowledge and experience with Statistics
- Highly organized with strong attention to detail
- Ability to work independently and as a member of various teams, while managing simultaneous work assignments
- Competency to secure and maintain confidential information
- Strives to consistently provide the highest quality of service to employees
